We are seeking an experienced Payroll Administration Lead, to oversee payroll operations for our Americas region, with a focus on the US, Canada and grow the role to gradually incorporate Mexico, and Brazil markets. The ideal candidate will have extensive knowledge of payroll tax regulations in the US, along with experience managing payroll processes in multiple countries.
Responsibilities1. Payroll Oversight: Manage end-to-end payroll processes for employees in US, Canada, grow into the role gradually to incorporate Mexico and Brazil; ensuring accuracy, timeliness, and compliance with local regulations and company policies.
2. Tax Compliance: Stay current with payroll tax laws and regulations in the US, Canada, Mexico, and Brazil. Ensure timely and accurate payment and reporting of payroll taxes, including income tax withholding, Social Security, Medicare, CPP, EI, CPF, INSS, and other applicable taxes. Must have knowledge processing stock awards, restricted stocks, shared payments payroll transactions.
3. Cross-Border Payroll: Navigate the complexities of cross-border payroll, including tax treaties, withholding requirements, and reporting obligations between the US, Canada, Mexico, and Brazil.
4. Team Leadership: Lead and support a payroll specialists responsible for running payroll for the US and Canada. Provide guidance, training, and mentorship to ensure high-quality payroll processing across all markets.
5. Vendor Management: Collaborate with payroll service providers and internal stakeholders to ensure seamless payroll processing and resolve any issues or discrepancies in a timely manner.
6. Process Improvement: Identify opportunities to streamline payroll processes, improve efficiency, and enhance data accuracy. Implement best practices to optimize payroll operations and drive continuous improvement.
7. Employee Support: Serve as an additional point of contact for employee inquiries related to payroll, taxes, and benefits, providing exceptional customer service and timely resolution of issues.
8. Compliance Audits: Conduct regular audits of payroll records to ensure compliance with internal policies, legal requirements, and audit standards. Prepare documentation and support for internal and external audits as needed.
SkillsMust have
Minimum of 3 years of experience in payroll management, with a focus on multinational payroll operations.
Extensive knowledge of payroll tax regulations in the US, including federal, state, and local tax laws.
Experience managing payroll processes in Mexico and Brazil is highly preferred.
Certified Payroll Professional (CPP) designation or equivalent certification is a plus.
Excellent communication skills, with the ability to effectively convey complex information at levels
Analytical mindset with proficiency in data analysis and reporting tools.
Detail-oriented with a commitment to accuracy and compliance.
Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.
Excellent problem-solving, and decision-making skills.
Proficiency in ADP payroll software and Microsoft Excel.
