We are currently seeking a dependable and responsible individual to perform various general office tasks essential to the day to day business operations in a fast paced, professional environment. Must have excellent organizational skills and a professional demeanor. Must be bi-lingual in English & Spanish. This will be a contractor position with potential to become a permanent role.
Duties & Responsibilities
Main liaison between Mexico office and other Wood Mackenzie locations and external vendors
Main contact for coordinating interviews and meetings
Assist in the onboarding of new hires
Ensure meeting rooms & general office kept orderly
Process expenses and travel for employees
Maintain Office Services files – equipment inventory, facilities services, etc.
Serve as contact for client & staff on requests for general assistance and information
Assist sales team as needed for reaching out to clients or uploading information in Salesforce
Assist with additional administrative tasks as needed
Assist Facilities & Tech with general set ups and equipment support for copiers, etc.
Copying, binding and printing documents
Processing incoming and outgoing mail
Skills & Experience Required
Minimum of Associate degree or equivalent work experience
Minimum of 1-3 years experience in administrative role
Strong skills with Microsoft Office including Word and Excel
Prior experience working in professional office environment that required meeting coordination and attention to detail
Ability to multi-task in a fast-paced, high pressure, deadline-oriented environment while achieving business goals and objectives
Independent worker with ability to take initiative and use good judgment
Must have strong verbal communication skills and ability to convey information clearly
Must be willing and able to effectively work in and adapt to a changing environment
Ability to understand internal and external client needs and provide excellent service to meet or exceed client expectations
Candidate must be able to bend, stoop and lift up to 40 lbs., as necessary for equipment installations, workstation set ups, etc.
Expertise in using Salesforce
Prior use of Microsoft Outlook for meeting bookings, etc.
Strong skills in the writing and review of contracts
Experience with benefits or accounting
