We are looking for an Executive Assistant responsible for providing support to one or more executives of the organization to ensure they are functioning at their most productive level. The person in this role will have strong attention-to-details, handle confidential materials and documents in a professional and discreet manner, answer and screen telephone calls, maintain calendars, and coordinate travel plans and meetings. The Executive Assistant will often make decisions independent of the executive, and is expected to “make it happen”.

Responsibilities
Organize and maintain routine work activities with an emphasis on prioritizing tasks and time.
Maintain documentation for all meetings, conferences, etc.
Communicate with US headquarters’ staff as well as global clients in oral and written form.
Process and review of invoices, payroll, and maintain employee records.
Process requests for purchase orders, check requests, and other purchases and payments.
Maintain and coordinate the executives’ schedules, and make travel arrangements as requested.
Respond to inquiries from employees and customers in an accurate, knowledgeable, and efficient manner.
Compile data for reports by summarizing information.
Type, prepare, review, and forward documents, forms, and correspondence in a timely manner.
Organize and maintain an accurate and efficient filing system.
Perform all other tasks and duties as assigned.

Requirements
Fluent English and Spanish (interview will be in English).
Impeccable professional appearance, demeanor and discretion at all times.
Ability to perform responsibilities with limited supervision.
Knowledge to respond effectively to common inquiries or complaints from employees and customers.
Problem solving and investigative skills as required to research inquiries.
Understanding of the business’ organization, operations, policies, goals and objectives.
Awareness to manage multiple priorities simultaneously.
Strong organizational, communication, and interpersonal skills to effectively interact with all levels of the organization and customers.
Ability to prepare and write reports, business correspondence and procedures, and routine correspondence.
Ability to recognize and create organizational tools that enhance processes and procedures.
Ability to calculate mathematical figures such as addition, subtraction, multiplication and division.
Ability to apply concepts such as fractions, percentages, and proportions to practical situations.
Proficient with Microsoft Office Suite, Windows and Mac OS.
Ability to solve practical problems and deal with a variety of variables in situations where only limited standardization exists.
Ability to define problems, collect information, establish facts, and draw valid conclusions.
